    Position Summary

    • Provide assistance and administrative support to Planned Giving Department, primarily for all aspects of bequests and estate administration
    • Other position-related tasks, as assigned

    Responsibilities

    • Accountable for completion of all assigned and position-related tasks including thorough follow up;
    • Maintain and review bequest files for follow up and to ensure that legal documents received by SRF are valid;
    • Communicate with SRF members who inquire about beneficiary-designating SRF on financial accounts, annuities, life insurance, etc. and to answer their questions as needed by phone, email, correspondence and in meetings, including Zoom and in person meetings at Convocation;
    • Assist in the administration of wills and estates of SRF members and friends by preparing and completing legal and financial documents and corresponding with the appropriate persons and offices throughout the probate or administration process until the bequest distribution is received;
    • Oversee and draft any legal and financial documents required for SRF to receive planned gifts including coordination with Department of Philanthropic Planning, Office of the President, Office of the Treasurer, Planning and Building Department, Center Department, Accounting Department, Archives, and Membership Services;
    • Prepare explanatory memorandums to provide history and analyses when reviewing legal documents and/or requesting approval signatures;
    • Online research, as needed;
    • Perform administrative and clerical tasks as required; and
    • Other position-related tasks as assigned.

    Requirements

    • Minimum of 3 years’ working experience as a paralegal or legal assistant in estate planning, probate and/or tax is preferred;
    • Minimum of one year working experience in the non-profit sector is advantageous;
    • Documented exceptional administrative, organizational and writing skills may be substituted for up to 2 years’ of paralegal experience;
    • Exceptional attention to detail with focus and follow through is required;
    • Experience working with financial and custodian institutions and investment brokers, and banking methods to transfer cash and stock donations is advantageous;
    • College/university degree preferred with good academic credentials, accreditations, and licenses if any;
    • Ability to learn and apply SRF methods and training to assist SRF membership and friends with their legacies to SRF;
    • Ability to interact and communicate effectively and professionally with SRF members, financial institutions, attorneys/executors/trustees/administrators, and outside legal counsel as directed;
    • Excellent interpersonal skills with ability to work harmoniously with other staff members, to take instructions from others, to be mentally engaged in a meaningful way that shows understanding and openness to contribute and share information, to function as a viable member of the department;
    • Empathetic, kind and helpful in interactions with SRF members upholding SRF principles and teachings;
    • Ability to honor and maintain a strict and high level of confidentiality and integrity are critical;
    • Organized, systematic and sustained effort, detailed, excellent memory, thorough in follow up, punctual, reliable, honest, discreet, and willingness to take on additional tasks;
    • Ability to self-manage work load and communications as a remote employee;
    • Proficient in Microsoft Office programs;
    • Regular in attendance;
    • Physically capable of lifting up to 15 lbs; sit, stand, and maintain concentrated focus on computer for extended periods.

    Additional Details

    This is a 40 hour per week Monday through Friday position.

    Local candidates only. No reimbursement for relocation cost offered for this position.

    Salary Range: $28.27-$29.68 per hour
